Terms and Conditions – Beyond the AscentPlease take a few minutes to read these Terms and Conditions carefully. They explain your rights and responsibilities when booking and taking part in our courses and activities
1. Definitions
Customer / Client: Any person, company, or organisation that books or buys a product or service from Beyond the Ascent.
Contract: The agreement between Beyond the Ascent and the customer for the supply of products or services.
Course(s): Any activity, session, or event provided by Beyond the Ascent that the customer takes part in.
Terms and Conditions: These terms, which form part of the contract between Beyond the Ascent and the customer.
2. Booking Conditions
A booking becomes confirmed when Beyond the Ascent accepts your booking and payment is received
Our activities involve some risk of injury. All our instructors are fully trained and will take every reasonable step to keep you safe, but accidents can still happen.
Anyone under 18 must be accompanied and supervised by parent or legal guardian (18 or over).
You are responsible for all equipment issued to you. Beyond the Ascent may charge for any loss or damage beyond normal wear and tear.
You must follow all safety instructions and regulations set by our staff.
By booking with us, you agree to these Terms and Conditions.
3. Fees and Payments
All prices include VAT.
If your course is more than 8 weeks away, a 50% deposit is required to secure your place. Deposits are non-refundable.
If your course is 6 weeks or less away, full payment is required at the time of booking.
The remaining balance must be paid 8 weeks before the course date. If payment is not received, we may treat your booking as cancelled.
Bookings are only confirmed once Beyond the Ascent receives your booking form and payment.
4. Changing Group Numbers
Increases in numbers must be confirmed at least 14 days before the course.
Decreases in numbers:
More than 8 weeks before the course: full refund for those not attending.
Less than 2 weeks before: no refund.
5. Changing Your Course Date
If you request a date change more than 4 weeks before your course, we’ll do our best to reschedule at no extra cost (subject to availability).
If we can’t accommodate your new date, normal cancellation terms apply.
Date changes less than 4 weeks before the course are not allowed and will be treated as a cancellation.
Cancellation terms after a reschedule are based on the original course date.
6. Cancellation by the Customer
Deposits are non-refundable.
If you cancel:
More than 8 weeks before: full refund of any amount paid beyond the deposit..
Less than 4 weeks before: no refund.
We strongly recommend taking out travel or activity insurance to cover last-minute cancellations (e.g., from providers such as The BMC).
7. Cancellation by Beyond the Ascent We make every effort to run all scheduled courses. However, if we need to cancel:
For public courses, we’ll notify you at least 14 days in advance if minimum numbers are not met.
You will be offered a choice of:
A full refund, or
Transfer to another date at no extra cost.
8. Adverse Weather or Unsafe ConditionsIf conditions make it unsafe to run a course, Beyond the Ascent may postpone or change the activity. You will be offered:
A suitable alternative activity on the same day,
A rescheduled date at no cost, or
A credit note or full refund if neither option is possible.
9. COVID-19 or Similar RestrictionsIf a course is cancelled due to government restrictions (e.g. lockdowns or group limits):
You can transfer to a new date, or
Receive a credit note with an expiry date. No refund will be issued.
If you cannot attend due to personal travel restrictions, self-isolation, or illness, our normal cancellation terms apply.We again recommend suitable insurance coverage.
10. Health and FitnessOur activities can be physically demanding. Participants must be in good general health.You must complete an Informed Consent Form (or Parental Consent Form for under-18s) before the course.Any medical conditions or injuries must be declared before the course begins.Beyond the Ascent may refuse participation on medical grounds if it’s unsafe for you or others.
11. Safety RulesOutdoor activities take place in natural environments with inherent risks. Our staff will manage these risks, but participants must follow all safety guidance and instructions at all times.
12. BehaviourDisruptive or unsafe behaviour will not be tolerated.We reserve the right to remove anyone whose behaviour affects the safety or enjoyment of others.Any damage caused by unruly behaviour must be paid for.
13. Personal Property You are responsible for your personal belongings at all times unless loss or damage is caused by Beyond the Ascent’s negligence.
14. Complaints We aim to resolve any problems quickly and fairly.If you have a concern, please speak to your instructor or the course director immediately.If it’s not resolved, please write to:Beyond the Ascent📧 beyondtheascent@gmail.com .We will respond within 28 days.
15. Force Majeure Beyond the Ascent is not responsible for cancellations or delays caused by events beyond our control, such as:natural disasters, war, strikes, extreme weather, pandemics, or power failures.
16. Intellectual Property All content, materials, and information provided by Beyond the Ascent remain our intellectual property and may not be copied or used without permission.
17. Photography Photos taken during our courses may be used in promotional materials or online.If you don’t want your image used, please let your instructor know on the day.
18. Data Protection We collect and store your personal information to process bookings and maintain service quality.Your details may be used to inform you of future offers.If you prefer not to receive marketing messages, please let us know.
19. Governing Law These Terms and Conditions are governed by the laws of England and Wales, and any disputes will be handled in those courts.Your statutory rights are not affected.
